Example pipeline structure · fields follow your sales process

Find and engage the right people

Research accounts, qualify incoming enquiries and run outreach and follow-ups under your chosen sending rules.

Move opportunities forward

Bring conversations, meeting context, open questions and next steps together. Scope proposal drafts and follow-ups around your sales stages.

Carry the relationship forward

Connect sold commitments to delivery. Use account history and agreed signals to prepare renewal or expansion actions.

What shapes your sales system?

Your offer, ideal customer, sales stages and business knowledge. We agree the required data, supported connections, sending rules and decisions that stay with your team.

02 / A workflow we use ourselves

From a lead
to a booked call.

Our internal system finds and qualifies leads, handles outreach and replies, and tracks bookings. This illustrative story shows those steps for a service business approaching software clients.

  1. Find a potential fit

Your AI checks the business against your target sector, then adds its published contact details to your pipeline.

    Your target
    Software businesses
    Available contact
    Operations email
    Buying intent
    Not yet known
  2. Make the introduction

Your AI sends an email using your offer, tone and outreach rules.

“Hi, we help software teams improve customer onboarding. Is this something your team is working on?”
What the message is based on

In this example, your service is improving onboarding for software businesses. The message asks about their needs; it does not invent a problem or previous relationship.

  3. Keep the thread moving

No reply yet? Your AI follows up according to your timing and stop rules.

“Would it help if I shared how we approach onboarding projects?”
    When the sequence stops

A reply changes the next step. A request to stop ends the outreach. Your follow-up limits and other stop conditions are agreed for your build.

  4. Bring them to a call

Lead“Yes. Could we talk about our onboarding process?”

“Happy to. Here’s our booking page so you can choose a time.”

Once they book, the confirmed booking feeds your pipeline and reporting.

Your criteria define the fit. Each reply and confirmed booking informs the next step.

03 / Performance & improvement

See what works.
Choose what changes.

Track how activity turns into qualified opportunities and won work. A connected reporting workflow can help investigate weak points and prepare a test for your team.

Look beyond reply counts

Compare segments, stage conversion and stalled opportunities. Check the CRM data and conversation context before choosing a change.

Illustrative custom-build recommendation
“This segment is booking meetings, but few become qualified opportunities. Review the conversations and test a clearer qualification question?”

You choose the test. Track qualified opportunities and won work alongside bookings, so the next decision reflects sales quality.

04 / Extend the workflow

Keep the context
after the call.

Post-call follow-ups, proposals, delivery handoffs and account-growth workflows can extend the system. These are custom scopes beyond our existing lead-to-booking build.

01

Turn discussions into decisions

Use meeting notes, requirements and open questions to draft follow-ups and proposals. Your team confirms pricing, commitments and what gets sent.

02

Give delivery the full picture

Prepare the agreed scope, expectations and next actions for onboarding. Keep account context available for future renewal and expansion discussions.

05 / Your scope, your system

One part of sales.
Or the connected workflow.

Start with the part of sales that needs attention. We map your process, check the necessary data and agree deliverables and a custom quote before the build.

Built in your accounts

Keep the tools that fit and connect the work around them. After handover, your system runs independently of Vulc.

Fitted to how you sell

Your audience, offer and sales process define the build. Sources, integrations and permissions are checked for your scope.

06 / Before you start

Make the fit clear.

Where can it find leads and send messages?

We choose sources around your target audience, including business websites, directories and platforms such as LinkedIn where suitable access is available. Email is one outreach option. Each source and sending channel is checked for supported access and agreed in your scope; available contact details vary.

Can it handle replies as well as send outreach?

Yes. Your AI can continue the conversation using your business knowledge and share your booking link. We define how it handles missing information, requests outside its instructions and messages that need your team. Follow-ups stop under the rules you choose, including a request not to be contacted.

Can this help with pipeline reporting and forecasting?

We can scope views for stage movement, stalled opportunities and forecast inputs from your CRM. Useful forecasts depend on consistent stages, amounts, dates and reliable history. The system can flag gaps and prepare a view; it cannot guarantee which deals will close.

Will it change our sales strategy on its own?

Corrections can inform future replies. Changes to targeting, offers or sales strategy come back to your team as recommendations. We agree what the system may send or update and how you evaluate a proposed improvement.

What is already running, and what is an extension?

We currently use lead discovery, contact enrichment, qualification, outreach, follow-ups, replies, booking tracking and analytics within Vulc at limited scale. Post-call follow-ups, proposals, delivery handoffs, renewal workflows and reporting through to won revenue would be custom extensions. They are not claimed as part of that running internal build.

Do we need you to keep running it?

Your completed system runs in your accounts and can operate independently after handover. Ongoing management is optional and covers the system, fixes and small updates. Connected tools still have their own running costs.
