Explore the client-work lifecycle

01 / Across your service business

Carry the context
through the work.

What was sold, who can deliver it, what the client needs and when to bill. We can connect these decisions across the tools your team already uses.

Enquiries, scoping & proposals

Research the client, gather requirements and prepare follow-ups or proposal drafts. Carry the agreed scope and expectations into delivery.

02 / A change that affects the team

A deadline moves.
Who needs to know?

A client’s required input arrives late. The delivery plan, next client update and billing milestone may all need attention.

Illustrative custom-build example, not a completed service-client project.

  1. Find what is affected

Bring together the missing input, task dependencies, available capacity and commitments from the agreed scope.

  2. Prepare the revised plan

Draft a schedule adjustment and client update. Flag any effect on effort or billing for the delivery lead to decide.

  3. Carry the decision through

Apply permitted task updates and reminders after the plan is confirmed. Track completion and effort against the revised plan.

03 / Your firm’s operating view

Know where work stands.
See what it means.

Connect your CRM, email, project tools, calendars and financial records in a workspace designed for your service model. Keep the tools that already do their job well.

  1. See clients and commitments

Bring sales context, scope, decisions and outstanding requests into the client view. Agree which information each person and agent needs.

  2. Connect delivery and the numbers

Track capacity, progress, costs and billing status. Fixed-price projects, time-based work and retainers need different measures.

  3. Turn a pattern into a change

Investigate repeated delays or margin pressure. Prepare options, choose the next action and compare the result with the work that came before.

04 / Before you start

A few practical questions.

Does this fit fixed-price work and retainers?

Yes. We scope the workflow around how you sell and deliver: projects, recurring services or time-based work. The source records, handoffs and measures should reflect that model. A custom system does not require your firm to adopt a new billing model.

What can AI handle, and what stays with our team?

Agents can prepare research, documents, updates and next actions, and make selected changes under agreed rules. Your team retains professional judgment and control over commitments, pricing, scope and client-facing work that needs review.

What experience is this built on?

We run lead-to-booking automation internally and have experience with commerce support and the founder’s business-reporting platform. Service-specific proposals, resource planning and delivery-to-billing workflows are custom scopes to build with you. The example here is illustrative.

Can we start with one workflow and run it ourselves?

Yes. We agree a useful scope and custom quote before building. Your completed system runs in your accounts and can operate independently, with optional Vulc support. Hosting, model and connected-tool costs remain; we discuss those alongside the build.
